City Managers Ghana Ltd. ("PCM", "we", "our", or "us") operates Ghana's waste management platform at this website and associated mobile applications. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our services.

By registering for service, making a payment, or using any part of this platform, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

2.1 Personal Information You Provide

  • Account registration: Full name, property address, GhanaPost GPS code, phone number, email address, national ID type and number.
  • Payment processing: Mobile money wallet number (MTN, Vodafone, AirtelTigo), card details (processed securely via Paystack or Flutterwave — we do not store full card numbers).
  • Service requests: Waste type, quantity, location, and scheduled date for on-demand pickups.
  • Support communications: Complaint descriptions, photographs of waste issues, and any correspondence with our team.

2.2 Information Collected Automatically

  • Location data: GPS coordinates when you use the service area checker, pickup booking, or mobile app (with your permission).
  • Device information: Browser type, operating system, IP address, and session identifiers.
  • Usage data: Pages visited, features used, and time spent on the platform.

3. How We Use Your Information

  • Deliver and manage your waste collection service.
  • Process payments and issue receipts and invoices.
  • Send SMS and email notifications about collections, billing, and service updates.
  • Respond to complaints and support requests.
  • Comply with Ghana EPA reporting requirements and other regulatory obligations.
  • Improve our platform through anonymised analytics.
  • Prevent fraud and ensure platform security.

4. Legal Basis for Processing (Ghana Data Protection Act, 2012)

We process your personal data on the following legal bases under the Data Protection Act, 2012 (Act 843):

  • Contract performance: Processing necessary to provide waste management services you have subscribed to.
  • Legal obligation: Data required for EPA waste returns, tax filings, and regulatory compliance.
  • Legitimate interests: Fraud prevention, platform security, and service improvement.
  • Consent: Marketing communications (you may withdraw consent at any time).

5. Data Sharing

We do not sell your personal data. We share information only with:

  • Waste contractors: Your address and collection schedule are shared with the contractor responsible for your district.
  • Payment processors: Paystack, Flutterwave, and mobile money providers for transaction processing.
  • Government bodies: Ghana EPA, Assemblies, and relevant regulatory authorities where legally required.
  • Service providers: Cloud hosting, SMS gateway, and email providers bound by data processing agreements.

6. Data Retention

We retain your personal data for as long as your service account is active and for a period of 7 years after closure to meet our legal and accounting obligations. Payment records are retained for 10 years in accordance with Ghana Revenue Authority requirements.

7. Your Rights

Under the Data Protection Act, 2012, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Request deletion of data where we have no legal basis for retention.
  • Object to processing for marketing purposes.
  • Lodge a complaint with the Data Protection Commission of Ghana.
